Erasmus+ and guest students

Application & General Info

We are glad that you are planning to stay one or two semesters at ELTE GTK or take courses from our faculty as a student nominated to another ELTE faculty. Please note that ELTE GTK’s International Office provides information to its incoming students via its International Students Moodle page. For various administrative purposes and to be given access to this information platform, , it is essential that every student taking courses at ELTE GTK fills in the  ELTE Faculty of Economics Incoming Application Form data sheet . Bear in mind as well that the Neptun code for students nominated to ELTE GTK is requested based on the data given in the Application Form, therefore ensure that the data are up-to-date and correct.

Appcilation form

The Application Form must be completed by all students nominated to ELTE GTK. Information on this process is sent to the nominated students via email after the end of the nomination period.

Do I need to fill in the Application Form?
Yes.

Why is it important to fill in the Application Form?

  • For students nominated to ELTE GTK: It is important because the first step of completing your application to ELTE GTK is the submission of your Application Form. It is part of your application process to create your student profile for ELTE NEPTUN. ELTE GTK’s International Office will request the Neptun code for you based on the information given in the Application Form
  • For students nominated to other ELTE faculties, who are also planning to study some courses at ELTE GTK: The information in the Application Form is essential for communication with the Faculty of Economics. Based on your submitted Application Form, we can add you to our Moodle platform dedicated to international students. You can find all the necessary information and regulations used at our faculty on that Moodle page. We also use this platform to contact the students during the semester.

Can I write the same name for my mother’s maiden first and surname?
No. Make sure to give separate names for your mother’s maiden first name and surname (e.g. First name: Anna, Surname: Smith). The maiden name is your mother’s birth name, i.e. the first name and family name she was given at birth. The Neptun system will not accept the same first and surname.

How can I decide whether I am considered to be an Erasmus student or not?
The simplest way to check if you belong to the Erasmus or Guest student group is to consider your sending institution’s location. If your sending institution is located within the EU/EEA (in one of the Erasmus programme countries) then the answer is “Yes, you are an Erasmus student”. If your sending institution is located outside of the EU/EEA (e.g. Japan, South Korea, China) you are a “Guest student”.

I am nominated to another ELTE faculty. However, I am taking courses from ELTE GTK as well. Do I need to include my Neptun code in the Application Form?
Yes. ELTE GTK can only add you to our International Students Moodle page based on your Neptun code.

When do I need to include my Neptun code in the Application Form?
If you are nominated to ELTE GTK, include your Neptun code onlyif you have  studied at a Hungarian higher education institution before and you received a Neptun code there.

Application deadline

General information on Erasmus+ Incoming Mobility is available on the university-level ELTE webpage. Based on that the application period is as follows:
For the Autumn semester or the full academic year: 30 May
For the Spring semester: 30 November

Neptun, Neptun code, Moodle

What is Neptun?
Neptun is the electronic administrative system of the university, and it makes the administration of your studies easier and faster. Additionally, course and exam registrations also take place in Neptun.

How can I log in to Neptun?
You will need a personal Neptun code to log in to Neptun. If you have a Neptun code and you have created a password for it, you will be able to log in. Note that Neptun login requires a two-factor authentication. For further information please consult this ELTE webpage.

How can I get a Neptun code? (only for students nominated to ELTE GTK)
The Neptun code is created centrally before the start of the semester (based on your submitted Application Form) and is emailed to incoming ELTE GTK students by the faculty coordinators. The subject of the email is usually this: ‘Your Neptun code’

Will I receive a password alongside with my Neptun code? (only for students nominated to ELTE GTK)
No, you need to request a password yourself. Detailed information will be provided in the information letter sent to nominated students (‘Your Neptun code’).

How many times can I try to log in to Neptun? What happens if I make a mistake while providing my Neptun code and password?
In case you encounter a problem with logging in to the Neptun system, please contact Quaestura Office (quaestura@elte.hu) - especially if you have more than one failed attempt because the system will shut you out after 3 attempts and reactivation might take several days!

When will I receive my Neptun code? (only for students nominated to ELTE GTK)
For the Autumn semester, you will probably receive your Neptun code at the end of July, while for Spring semester, you will receive your Neptun code in January.

I am coming to ELTE GTK for a year. Will I receive separate Neptun codes for the two semesters?
No, you will only receive one Neptun code and you will use it during your whole mobility.

What is Moodle?
Moodle is the online study platform which contains the course materials for every course separately (i.e. every course has its own Moodle page). You will also be able to register for and take midterms in Moodle. There is also a separate page in Moodle which is dedicated to international students studying at ELTE GTK.

How can I log in to Moodle?
Your Neptun code will also give you access to Moodle (see above).

IIG (ELTE/Institutional email address)

When can I create my IIG?
When your Neptun status if fully activated. If you are a student nominated to ELTE GTK, you will be able to create it two days after your in-person enrolment.

Why is it important to create an IIG?
It is important because students need the IIG identifier to use various IT services offered by ELTE and to access several interfaces, including correspondence, Teams, and ELTE Wi-Fi. At the Faculty of Economics, it is also needed to access the Faculty regulations, various information documents, as well as to access the timetable and the midterm schedule. You will also be able to personalise your timetable using your IIG.

Where can I create my IIG?
You can create your own IIG ID (otherwise also referred to as the “institutional email-address") using the following website: IT support (elte.hu).

I have trouble creating my IIG. What can I do?
First make sure that you have enrolled at ELTE in a way  your ELTE faculty requires. (The exact enrolment process may depend on the faculty to which you are nominated: e.g. for students nominated to ELTE GTK, in-person enrolment is required). If you are fully enrolled and still face an issue, first ask your mentor or the Representative for Foreign Students of ELTE GTK’s Student Union (kulfugyek@gtkhok.elte.hu) for help. If the issue needs further attention, please contact operator@elte.hu.
